Managing a large-scale website in Squarespace can be overwhelming, especially when dealing with multiple pages that don’t necessarily belong in the main navigation menu. 

For organizations with various team members working simultaneously, keeping track of responsibilities and ensuring seamless collaboration is essential. 

In this guide, I’ll walk you through my tried-and-tested method for organizing large Squarespace websites using dropdowns.

Why Organizing Pages Matters

For large websites, many pages don’t appear in the primary navigation but instead reside in the “Not Linked” section. Without proper organization, it can become difficult to manage who is responsible for what. A well-structured site ensures:

  • Clarity - Team members know which pages they own.

  • Efficiency -  Easy access to frequently used sections.

  • SEO Optimization - Keeping landing pages properly structured.

  • Collaboration - Facilitates seamless teamwork without overlapping responsibilities.

Organization ideas for Squarespace pages

One of the best ways to keep things streamlined is by utilizing Squarespace’s dropdown menus. Some of the ways I organize my pages are:

Create Folders for Key Categories

  • Legal (Privacy Policy, Terms & Conditions, Cookie Policy)

  • Unlinked Pages

  • SEO Landing Pages

  • Location-Based Landing Pages (e.g. Liverpool, London)

  • Lead Magnets

Grouping Pages by Team Responsibility

 If multiple people manage the site, categorizing by team role can be extremely beneficial. 

  • Admin - Handles general site updates and approvals.

  • Content Team - Responsible for blog posts and static content.

  • SEO Team - Manages landing pages and keyword optimization.

Progress-Based Folders

  • In progress (remember, new pages should remain disabled to prevent them from being indexed by search engines until they are ready).

  • Ready for review

  • Amends

  • Complete

Step-by-Step Guide to Organizing Pages in Squarespace

  1. Go to Pages in your Squarespace dashboard.

  2. Click the + Button and select “Dropdown.”

  3. Name the Dropdown Folder (e.g. “SEO Team,” “Legal” etc.).

  4. Drag and Drop Pages into the relevant folders.

  5. Move Completed Pages into the appropriate sections when ready.
